  2. Customise & Review Documents Faster with Less Scrolling ⚑

    No more jumping up and down the page to update your document and check the preview.

    The new document preview page gives you a right-side settings panel, so you can customise your document while keeping the preview right in front of you!

    You can seamlessly update design, display settings, payment details, bank/UPI details, and other configurations with better visibility and less back-and-forth.

    Important details like audit trail, linked documents, approval history, payment records, and more are also easier to access from the same sidebar.

  3. Review Leads Faster Without Leaving the Dashboard ⚑

    You can now use Quick View to check/edit lead details in a side drawer without leaving the Leads dashboard:

    The drawer lets you quickly view customer details, lead stage, assignee, source, notes, activity history, meetings, quotations, and invoices from the same screen.

    This will help you review multiple leads faster without losing your place on the dashboard!

    (You can still access the complete lead view page by clicking on any lead row.)

  4. Meeting Booking in Lead Capture Forms πŸ—“οΈ

    New Feature

    No more Calendly links - with Google Calendar integration in Refrens forms, leads can submit their details and book a meeting from your available slots in one flow!

    Key Updates:

    • Add meeting booking to any lead capture form
    • Show available slots automatically: Refrens checks your connected Google Calendar and shows only available slots based on your working hours, selected days, meeting duration, buffer time, and notice period.
    • Let leads self-schedule: Leads can pick a date and time directly from the form, reducing back-and-forth calls or messages.
    • Create leads and meetings together: When the form is submitted, Refrens creates the lead and the scheduled meeting together.
    • Sync meetings with Google Calendar: Meetings are added to your calendar with Google Meet links for video calls.
    • Track meetings in Refrens: View, update, join, or cancel meetings from the meetings dashboard.

    This helps your sales team respond faster, reduce manual scheduling, and let interested leads book a call at the right time.

  5. Choose Layouts for Lead Capture Forms 🧩

    New Feature

    You can now choose how your lead capture forms appear on websites, landing pages, and shared form links.

    With our new layout options, you can select a layout that fits where the form is used:

    Layout options

    • Single Column: Shows one field per row. Best for simple forms, mobile-first pages, and narrow spaces.
    • Two Columns: Shows fields side by side on wider screens. Best for longer forms where you want to reduce scrolling.
    • Auto: Automatically adjusts based on available space. It shows two columns in wider areas and switches to one column in narrower spaces.

    With this, your forms can look cleaner across different placements. A form on a wide landing page can appear compact, while the same form can stay readable in a sidebar or popup!

    Go to the Form Configuration Section > Layout to try this out!

    (P.S. When embedding a form, developers can override the default layout selected in the form builder by adding a layout option directly in the embed code. This helps the same form adapt to different placements without having to create duplicate forms!)

  6. Search Documents by Contact & Edit Contact Labels

    Improvement

    We have added two updates to make contact handling easier across documents:

    1. Search Documents by Contact

    You can now filter document dashboards by contact person:

    This helps you quickly find documents linked to a specific contact.

    You can also use the contact filter along with the client or vendor filter for more accurate results.

    2. Edit Contact Labels in Documents

    You can now edit contact field labels directly inside documents:

    Labels such as Contact Person, Contact Email, Contact Phone, Role, and Department can be renamed inline.

    Once saved, the updated labels will be carried forward to future documents.

    The updated drawer gives you a structured view of Client or vendor details, Tax Information, Custom fields, Shipping addresses, Bank details, Contacts, Attachments, Invoices, and Statements.

    This makes it easier for you to review, copy, verify, and manage client or vendor information in a single, clean view!

  8. Download PDFs with Your Preferred File Name Format πŸ“‘

    New Feature

    You can now customise the filename format for document PDFs downloaded from Refrens!

    With Custom PDF File Names, you can:

    βœ… Include important details in the PDF filename, such as document type, document number, client/vendor name, business name, document date, year, month, and download date.

    βœ… Choose the order in which these details should appear in the filename.

    βœ… Select whether the filename should use a hyphen - or underscore _ as the separator.

    For example, your downloaded PDFs can follow formats like:

    invoice-doc-001-client-name-your-business.pdf

    invoice-doc-001-your-business-FY2025-26.pdf

    doc-001-client-name-14-09-2025.pdf

    This makes downloaded documents easier to identify, organise, search, and share with your team, clients, vendors, or accountant.

    Just go to Business Settings β†’ Accounting β†’ Custom Labels and fields β†’ Customise PDF Download Filename to set this up!

    After saving the PDF file, we rename it according to our format/convenience. Can we customized it when save it. Ex: Client Name+Suburb+Date_our CompanyName or something like this..

  9. Bank Reconciliation Now Supports PDF Statements 🏦

    New Feature

    Bank reconciliation just got a lot faster and easier on Refrens.

    Now upload your bank statement PDF directly and use it for reconciliation - no CSV file needed!

    You can:

    1. Upload bank statement PDFs
    2. Add PDF password, if required
    3. Use Smart Transaction Analysis to identify reference number, party name, category, and payment method
    4. Review extracted transactions and reconcile with ledger records

    This makes reconciliation faster and simpler, especially when your bank provides statements in PDF format.
