    The API helps you:

    • Automatically create leads in Refrens Sales CRM

    • Assign leads to team members
    • Add lead sources, tags, budgets, notes, and custom fields

    This makes it easier to bring every incoming enquiry into Refrens without manual entry or missed leads.

    Open the shortcut list with Tab + /, click Edit Shortcuts, select any shortcut, and press your preferred key combination to rebind it:

    With email-based document collection, bills sent by vendors or employees can flow directly into your Refrens business account for scanning.

    This makes expense document collection faster, reduces back-and-forth, and helps your team move from received bill to recorded purchase or expense with less effort.

    Key Updates:

    • Share your dedicated Refrens expense email with vendors and employees.
    • Receive vendor invoices and expense documents directly in Refrens.
    • Refrens automatically picks up supported attachments from the email.
    • Attachments are scanned by Refrens AI and added to your business for further review.
    • Review the scanned data, confirm vendor details, and save the purchase or expense record.

  4. Shopify Integration: Auto-Fill HSN Codes on Invoices

    Fix

    Invoices created on Refrens through Shopify will now automatically include HSN codes for matched inventory items.

    When a Shopify order is synced to Refrens, the system matches each Shopify line item with the corresponding item in your Refrens inventory. If an HSN code is added to the matched inventory item, Refrens will apply it to the invoice line item.

    This helps you generate GST-ready invoices for Shopify orders without manually adding HSN codes after every sync.

  5. Invoice APIs: Control Which Payment Details Appear on Each Invoice

    Improvement

    Businesses creating invoices through Refrens APIs can now control which payment details appear on each invoice.

    With the new paymentAccount object, you can show or hide bank account details, UPI details, and external payment links for invoices created via API.

    You can also pass a specific bank account number or UPI ID, as long as it is already added to your Refrens business account.

  6. New Pipeline Editor: Define Stage Durations, Add Reasons, and Set Stage Statuses With Ease

    The new Pipeline Editor gives you more control over how your sales stages are created, managed, and tracked on Refrens.

    What's New?

    1) Set Stage Durations

    Define how long a lead is expected to stay in each stage. For example, you can set a duration of 2 days for β€œContacted” or 5 days for β€œProposal Sent.”

    This helps your team follow a clear sales timeline and identify leads that may need timely follow-up.

    2) Manage Stage-Specific Reasons at the Pipeline Level

    You can now manage reasons directly from the Pipeline Editor drawer - making it easier for admins to standardize reasons for each stage, so sales teams can select the right options while updating leads.

    3) Set Status for New Stages

    When adding a new stage, you can now set its status as Open, Lost, or Not Serviceable.

    Multiple Closing Stages in CRM Pipeline

    We have multiple stages that are required to be removed from daily activities but should not be regarded as "Lost" or "Not Serviceable". We need an option to add more closing stages while editing stages in a pipeline. Currently, we can only add Open-category stages. For example: Closed: Lost to Competitor and Closed: Lost internal are both negative closing stages

  7. Strict Inventory Control: Block Sales When Stock Is Unavailable πŸ”’ πŸ“¦

    New Feature

    With Strict Inventory Control, you can now restrict stock transactions when an inventory item does not have enough available stock.

    For example, if an item has only 5 units available, you will not be able to make sales transactions for more than 5 units.

    This helps your team avoid overselling, reduce inventory mistakes, and maintain cleaner stock records across items, warehouses, batches, and package items.

  8. Digitally Sign Documents on Refrens with DSC & Certified eSign ✍️

    New Feature

    You can now add Digital Signatures to your invoices, quotations, purchase orders, and other documents directly from Refrens!

    Refrens now supports two digital signing options:

    1. Certified eSign: Use this when you want to get a document signed online without any hardware or setup. The signer simply opens the signing link, verifies their email with an OTP, and signs the document online.
    2. DSC Signing: Use this if you already have a Class 3 DSC USB token, commonly used for GST filing, MCA filing, income tax filing, and other statutory work in India. The signer connects the DSC token to their system and signs the document using the token.

    Key Functionalities:

    • Get documents signed digitally
    • Maintain a proper signing history and audit trail
    • Share digitally signed PDFs with clients, vendors, and teams
    • Verify that the document has not been altered after signing

    This makes your business documents more secure, professional, and easier to verify.

    I would like to request a feature enhancement in the Referens platform. It would be extremely helpful if you could introduce a digital signature option for invoices.
