  1. Route Shopify Orders to Different Businesses

    New Feature

    Businesses operating across multiple Indian states can now map Shopify orders to different Refrens businesses based on the customer’s shipping state:

    Shopify Order Routing

    With Business Mapping, you can:

    1. Select a default Refrens business for all unmatched, non-India, or address-missing orders.
    2. Create state-wise routing rules, such as Delhi → Delhi business and Haryana → Haryana business.
    3. Connect multiple Refrens businesses to the same Shopify store.
    4. Automatically create invoices in the business mapped to the customer’s shipping state.
    5. Ensure payments, refunds, cancellations, and credit notes continue to be recorded in the same business where the original invoice was created.

    How to set it up:

    Open the Refrens app in Shopify → go to Configurations → Business Mapping → select the Default Business → add state-wise routing rules → save the configuration.

  2. Add LUT, IEC, and Udyam Details to Invoices

    New Feature

    Now add Udyam, LUT, and IEC details using dedicated fields in Refrens and display them on invoices - without creating custom fields:

    Key Updates

    Udyam Number: Add it for your own business as well as for clients and vendors.

    LUT and IEC: Add these details for your own business under Additional IDs.

    Invoice visibility: You can choose whether these IDs should be shown on invoices.

    Field validation: Refrens validates the format of each ID to help prevent incorrect entries.

    Optional: Udyam, LUT, and IEC are all optional to add.

    How to add them:

    While creating documents, just go to the Billed To/Billed By Section > Edit > Tax Information > Add Additional IDs.

  3. View Client Trust Score While Creating an Invoice

    Improvement

    You can now view a client’s Refrens Trust Score directly from the Billed To section while creating an invoice:

    Why Viewing the Trust Score Matters

    A client’s GST filing history can reveal potential compliance and documentation issues before you raise an invoice or extend credit.

    It helps you spot repeated delays, missed filings, or an inactive GSTIN early, so you can verify details and decide on safer payment terms.

  4. Download the All Ledgers Master Report as a PDF

    Improvement

    You can now download the complete All Ledgers Master Report as a PDF using your selected financial year, date range, and applied filters:

    The PDF will include a detailed master report with your business and tax details, a table of contents, grouped ledger-wise balances, and complete transaction records with credit, debit, and running balance.

    This makes it easier to save, share, print, or review all the ledgers in one structured document.

  5. Download Inventory Items with Batch Data

    Improvement

    You can now export batch-wise inventory data directly from the Inventory dashboard using the new "Download CSV with Batch Data" option:

    The export creates a separate row for each batch and includes key item and batch details such as SKU, stock levels, batch code, prices, manufacturing and expiry dates, and custom fields.

    This makes it easier to review, reconcile, and analyse your inventory at the batch level.

  6. Update Inventory for Credit and Debit Notes

    New Feature

    You can now choose whether each item in a Credit Note or Debit Note should also update your inventory.

    For Credit Notes:

    Enable Add to Inventory when goods are physically returned by the customer:

    Example: If a customer returns 5 units and the items come back into your warehouse, enable Add to Inventory to increase the stock by 5.

    Leave it unchecked when the Credit Note is only for a discount, price correction, tax adjustment, or billing change, and no goods are returned.

    For Debit Notes:

    Enable Deduct from Inventory when goods are physically returned to the vendor:

    Example: If you return 3 defective units to a supplier, enable Deduct from Inventory to reduce the stock by 3.

    Leave it unchecked when the Debit Note is only for a rate difference, discount adjustment, or accounting correction, and no goods leave your inventory.

    The option is available separately for each stock-managed item, so one document can include both inventory-adjusted items and monetary-only items.

  7. Track Warranty Periods for Serial Numbers

    New Feature

    Now also add a warranty period while creating or adding serial numbers.

    Just enter the warranty duration and choose the applicable unit: days, months, or years:

    The selected warranty period will be saved against each serial number.

    The warranty period is saved against each serial number. Once the serial is sold, Refrens automatically calculates its warranty expiry date.

    For example, a serial sold on 22 July 2026 with a 3-year warranty will have a warranty date of 22 July 2029.

    You can view both the Warranty Period and Warranty Date from the item’s Serials dashboard, making it easier to track warranty coverage for every sold unit:

  8. Add PO Numbers to Sales Documents

    Improvement

    You can now add the customer’s Purchase Order number while creating an invoice, proforma invoice, quotation, or sales order:

    The PO Number is saved with the document, appears on the PDF, and can be updated later whenever required. It can also be added through bulk upload or API.

    How to enable it: Go to Settings → Accounting → Enable Display PO number on documents:

    Once enabled, the PO Number field will appear in the document header while creating or editing supported sales documents.

  9. Duplicate Existing Leads in One Click

    Improvement

    When the same client has a new requirement, project, or enquiry, you can now duplicate the existing lead instead of entering the same details again.

    Go to the lead you want to duplicate → click More → select Duplicate Lead → update the details → save.

    The Duplicate Lead option copies key information such as contact details, client, pipeline, stage, labels, assignee, budget, follow-up date, and custom fields. You can edit these copied details before saving them as a new lead.

  10. Sales CRM APIs: Push Leads from External Systems into Refrens 🔗

    New Feature

    You can now send and update leads from any of your third-party systems directly into Refrens with the Sales CRM APIs.

    The API helps you:

    • Automatically create leads in Refrens Sales CRM
    • Attach clients and contacts
    • Map leads to the right pipeline and stage
    • Assign or reassign leads to team members
    • Add or update lead sources, tags, budgets, notes, and custom fields
    • Move leads across pipelines and stages
    • Update the subject and description
    • Add comments and internal notes
    • Update linked customer and contact details

    Only the fields included in an update request are changed, while the remaining lead information stays untouched. API-driven changes are also recorded in the lead history and shown as made via “API.”

    This will help you keep the lead data in Refrens synced with external systems without repetitive manual entry.
