We recommend that Refren ensures compatibility or integration with Digital Signature Certificates (DSC) for at least tax invoices. This is essential as some companies do not accept signature photographs and instead require either a DSC or a physical signature for document validation.

We would like to propose the implementation of a Certificate of Analysis (COA) system for every product, with customized formats based on product category and specifications. This system will help ensure: Consistent product quality and transparency Easy traceability for each batch Compliance with domestic and export standards Better trust and confidence among clients Each COA can be designed with product-specific parameters, including physical, chemical, and microbiological details as required. We believe this initiative will significantly enhance our quality assurance process and strengthen our brand value in the market. Concept: Product-wise COA System (Standard + Custom Format) 🔹 1. Central COA System Setup Create a standard COA template that applies to all products, with sections like: Product Name Batch No / Lot No Mfg Date / Expiry Date Packing Size Test Date Tested By (Lab Name / In-house QC) 🔹 2. Common Parameters (Same for All Products) Keep these fixed across all COAs: Appearance Color Odor Foreign Matter Packaging Condition Temperature (for frozen products) 🔹 3. Product-Specific Parameters (Different Format) Each product category should have custom testing parameters: 🟢 Frozen Vegetables (Peas, Corn, etc.) Moisture % Blanching Status Microbiological (TPC, E. coli) 🍟 Frozen Snacks (Samosa, Fries) Oil Content Crispiness Index Frying Time Taste Score 🥭 Fruit Pulp Brix Value Acidity Pulp % Sugar Content 👉 This makes each COA technically strong + product-specific 🔹 4. Format Variations (Professional Approach) You can maintain 3 types of COA formats: Standard COA (1 Page) → For regular buyers Detailed COA (2–3 Pages) → For exporters / international clients Client-Specific COA → Customize as per buyer requirement (very important for export) 🔹 5. Batch-wise Auto Generation System Use Excel or software: Each GRN / Production Batch → Auto COA generate Link with: Batch Code Production Data QC Results 👉 This reduces manual work and errors 🔹 6. For your reference, the issues we are currently facing are listed below: Financial Period Selection Issue The system does not allow us to select a custom financial period. We need to download financial data for the period 1 November 2024 to 31 December 2025, but this option is currently unavailable. Trial Balance Format We need to download a complete Trial Balance that shows proper transaction movements. At present, the system only displays the closing balance of each ledger. Our auditors require a format that shows total debit balances on the debit side and total credit balances on the credit side, along with the closing balance after reconciliation. Ledger Download Issue We need to download individual account ledgers, but currently the system does not provide an option to export or download the ledger of specific accounts. Fixed Assets Management The software does not provide an option to properly create and manage Fixed Assets with details such as asset information, useful life, and automated depreciation calculation. Unique Number for Chart of Accounts When creating the Chart of Accounts, there should be a unique account number assigned to each account. This will help us search and identify accounts easily using their unique account number.

when the access is limited to self to the employee, they cant see the documents created by others but when they create a new document, the document number should come according to the last number of what has been going actually and not what is showing to that particular employee. but thats not case. the document number trail gets disrupted due to this
